    GoBright - Implementation guidance


    This document is designed to give guidance on the stages required for a successful deployment of a GoBright solution. Due to the modular nature of GoBright the key areas are considered. More detailed explanations can be found on the GoBright Help Centre pages.


    Step 1 - Communication

    Depending on the scale of the deployment organise at least one meeting a week to discuss the planned deployment, and keep these meetings ongoing until after the deployment is complete. Ensure the correct people are part of the meeting invitations:

    • Key stakeholders
    • IT department - required for integration calls
    • Facilities - required for handling desk/room naming configurations
    • User management team

    Step 2 - Build a clear and realistic timeframe for installation

    This will very much depend on the size of the deployment and any experience gained through previous deployments.

    Firstly consider the GoBright technology to be deployed and the numbers of each:

    • Room booking panels
    • Desk booking - connect
    • Desk booking - NFC stickers
    • Software only solution
    • Visitor management
    • Wayfinding
    • Mapping
    • Digital signage

    A rough guide is given to the length of time required when implementing some of the solutions. 

    What will be essential is contacting Ascentae to discuss stock availability and expected delivery times, these can then be built into the delivery plan. 


    Step 3 - Integration

    At least 1 week should be allowed to book the GoBright support team to help with the integration of O365 (assuming gold support is taken). All licencing documentation is required to proceed with the integration onto the portal.

    Discuss the required integrations with the client based around the following documentation:

    Ideally both of these documents would be sent to the client ahead of any order to allow time to read and discuss internally.

    Allow 1 - 2 hours for the integration call, ensuring the client knows all passwords for their Microsoft/Google administration accounts ahead of the implementation.


    Step 4 - GoBright portal configuration

    There are several key considerations when setting up the GoBright portal.

    • What locations/floors/zones need to be created?
    • What roles do you want users to have?
    • Are certain areas of the office reserved for certain groups?
    • What functionality (amenity) is available at each desk?
    • What is the naming convention of the desks?
    • What is the naming convention of the rooms?

    Once questions of the above type are answered and clear the population of the GoBright portal can begin. A suggested order would be:

    • Create locations/floors/zones
    • Create user profiles (if not already linked through the integration call)
    • Create users (if not already created in the integration call)
    • Give users a working profile
    • Create desk profiles
    • Create desks and apply the required profile
    • Create room profiles
    • Create rooms and apply the required profile
    • Add maps to the portal
    • Add icons to the map linking to the correct desk and room

    Step 5 - GoBright hardware configuration

    As previously observed the hardware configuration is very much dependent on the technology due to be implemented. Key technology deployment is outlined.

    There are several key considerations for the hardware deployment:

    • Are room panels to be mounted on glass or walls?
    • Are room panels PoE or mains powered?
    • Do you have agreement from facilities to drill desks for the connect module?
    • Are cables long enough to reach power supplies (especially the case for connect modules)?
    • Are gateways configured for the connect module?

    Once questions are answered and clarity is confirmed then the rooms and desks can be installed.

    • Install the desk connect into the 80mm desk hole or caddy solution
    • Use the GoBright app to scan the connect module and link to the previously created desk
    • 8-10 desk connects can be connected to the portal per hour

     

    • Add the NFC stickers to the desk
    • Use the GoBright app to scan the NFC sticker and link to the previously created desk
    • As a guide 20 stickers per hour can be assigned to a previously created desk

     

    • Set up the room booking panel and add to the GoBright portal
    • For a room booking panel with GoBright software preloaded set up time is around 5 minutes per panel
    • For a room booking panel without the GoBright software loaded allow 10 minutes per panel. Software can be downloaded by using the web browser here

     

    • Once licences are issued any visitor management can be created including: Email automatic responses to attendees, badge layout for badge printing
