Configuring Valarea for instant meeting on multiple UC platforms


    Configuring Valarea to allow Instant Meetings from Teams, Zoom, Google Meet and Webex


    Introduction

    Valarea 3.6 introduced a new feature.

    Users can now create an instant meeting using any of 4 leading UC providers - Teams, Zoom, Google Meet or Webex.

    These UC clients must be configured and enabled in the setup Wizard.

    This guide shows you how.


    Initial Configuration

    If you are setting up Valarea for the first time, please refer to the Valarea Setup Guide.

    We recommend that you create a Gmail account for the room.  This will make it easier to setup Zoom and Webex accounts if you do not already have them.


    Configuring the Clients

    If you have upgraded your Valarea software to v3.6 or above, you can now enable multiple UC clients on page 3 of the setup Wizard.

    Even if you don't wish to enable the choice of the clients within the instant meeting function, we recommend that you go through this process as it makes joining a scheduled call using these clients considerably quicker and simpler for the users.

    If you have already configured your O365 Calendar on page 2 of the Wizard, then you can enable Microsoft Teams without any additional configuration.

    When you hit 'Enable', you will be given specific instructions on setting up the client.

    We recommend the first client you configure is Google Meet.  If you haven't already created a Gmail account for the room, do it before Enabling Google Meet.

    When you press 'Enable', you will be asked to sign into an account.  As Google is browser based, there is no need to install a client on the host PC.

    When configuring Zoom and Webex, if you do not already have accounts, you will need to create them.  We recommend using the room GMail account to do this so all the account details can be found easily in case of difficulty.

    You will be asked to authenticate your Zoom and Webex accounts.

     

    Once your account has been authenticated, it will show as active in the Valarea setup Wizard.

    Now that the clients have been configured, you can choose which of them you want to have as instant meeting clients.  You can toggle the 'Enable' buttons to turn off the instant meeting facillity and Valarea will remember the credentials.  If the Valarea POD joins a scheduled meeting, users will not be asked to sign in.

    You can now complete the Wizard and save.


    Using the Instant Meeting function

    To use this feature, simply select the 'Reserve Now' button on the Valarea POD

    Select 'Video Conference'

    Choose the client you wish to use.

    Type in the email address of the first person you want to invite to the meeting and select to add them to the list.

    You can remove people from the invite list by hitting the delete button.

    When you have populated your invite list, hit 'Start'.

    Your instant meeting will start using your chosen client and an email intiviation, with joining instructions will be sent to the participants you have chosen.
